Booking Terms & Conditions
THE ACCOMMODATION
Stay Greenwell is the trading name of Greenwell Cottage Ltd.
​
Stay Greenwell provides the following accommodation:

Greenwell Cottage – Woodland Escape, including The Inkwell annexe; and
-
Jacob's Well – Romantic Shepherd's Hut.
​
The Inkwell and Jacob's Well form part of the wider accommodation provision associated with Greenwell Cottage and provide additional accommodation for guests, including as part of larger group bookings.
​
Where offered, individual accommodation areas may be occupied by smaller parties, subject to availability and the booking arrangements confirmed by Stay Greenwell.
​
Bookings made directly with Stay Greenwell are made with Greenwell Cottage Ltd. Guest enquiries and hosting are handled by Jack and Beth on behalf of Greenwell Cottage Ltd.
1. MAKING A BOOKING
A request or enquiry submitted through the Stay Greenwell website is not a booking.
​
A booking is only confirmed when Greenwell Cottage Ltd has confirmed it in writing and the required payment has been received, or an alternative payment arrangement has been agreed.
​
The person making the booking must be at least 18 and is responsible for everyone in their party and for ensuring that these Terms are followed.
The accommodation is provided for holiday purposes only and may not be sublet, resold, transferred for payment or used as a permanent residence.
2. PAYMENT AND DAMAGE DEPOSIT
A 25% deposit is payable to secure a direct booking.

The balance is due 56 days before arrival. For bookings made within 56 days of arrival, the full balance is payable when the booking is confirmed.
If payment is not received when due, we reserve the right to cancel the booking and apply the cancellation terms below.
​
A £250 refundable damage deposit applies to direct bookings where specified at the time of booking.
​
The damage deposit may be used to cover reasonable costs arising from damage, loss, breakages, excessive cleaning or other costs reasonably incurred as a result of the guest's actions or breach of these Terms.
​
Any remaining balance will be returned after departure.
​
The £250 damage deposit is not a limit on the guest's liability. Where the reasonable cost of repair, replacement, cleaning, recovery or other loss exceeds the damage deposit, the guest remains responsible for the balance.
​
Where appropriate, we will provide details of any significant deduction or additional amount claimed.
​
If an amount properly due remains unpaid, Greenwell Cottage Ltd reserves the right to pursue recovery of the debt through the appropriate legal process, together with any court fees, interest or other costs recoverable by law.
3. CANCELLATION – DIRECT BOOKINGS
Cancellation must be notified to us in writing as soon as possible.

More than 30 days before arrival:
The 25% booking deposit is retained and any other payments made are refunded.
​

Between 7 and 30 days before arrival:
50% of the total booking cost is retained and the remaining 50% is refunded.
​

Less than 7 days before arrival:
The full booking cost is retained and no refund is due.
​
If we are able to re-let the accommodation following a cancellation, we will make a reasonable effort to refund any amount recovered, less any difference in price and reasonable costs incurred.
​
Bookings made through Airbnb or another third-party platform are subject to the cancellation policy applying to that booking.
​
We strongly recommend appropriate travel insurance.
4. ARRIVAL AND DEPARTURE
Unless otherwise agreed:

Check-in: 4pm onwards
-
Check-out: by 10am
​
Guests must leave the property by the agreed check-out time and leave it in a reasonably clean and tidy condition.
​
Keys and other access devices must be returned as instructed. Lost keys or access devices may be charged at their reasonable replacement cost.
​
Unauthorised late departure may result in reasonable additional charges where it causes additional costs, cleaning or disruption to the next booking.
5. GUESTS, CHILDREN AND PETS
The number of guests must not exceed the number agreed at the time of booking. Additional overnight guests are not permitted without prior agreement.

Greenwell Cottage – Woodland Escape is family friendly and children are welcome.
​
Jacob's Well – Romantic Shepherd's Hut is for adults-only.
​
Pets are not normally permitted. Any exception must be agreed in advance and may be subject to additional conditions or charges.
6. CARE OF THE PROPERTY
Guests are expected to treat the property, furnishings, equipment and grounds with reasonable care.
​
Guests must not:

cause unreasonable nuisance or disturbance;
-
hold parties or events without prior agreement;
-
smoke or vape inside;
-
use the property for unlawful purposes;
-
deliberately damage or misuse anything provided;
-
bring additional visitors or guests without prior agreement;
-
use the property for commercial activity, photography, filming or events without prior agreement.
​
The properties are intended for quiet holiday stays and guests are asked to respect neighbours and the rural setting.
​
Guests are responsible for any loss or damage caused by them or their party beyond reasonable wear and tear, including damage to the property, furnishings, equipment, grounds or facilities.
​
This includes reasonable costs of repair, replacement, specialist cleaning or other remedial work required as a result.
​
Any damage, breakage or other problem should be reported to us promptly.
​
Where damage or misuse results in the property being unavailable for a subsequent booking, reasonable losses directly resulting from that damage or misuse may also be recoverable.
7. HOT TUBS
Both Greenwell Cottage – Woodland Escape and Jacob's Well – Romantic Shepherd's Hut have a wood-fired hot tub.
​
The hot tub is supplied empty and clean at the start of each stay. Guests are responsible for filling, heating and using the hot tub during their stay and must follow the simple filling and heating instructions provided before arrival.
​

The pump/jets must NEVER be operated without sufficient water.

The wood-fired heater must never be lit unless the tub has been filled to the required level.

Only kiln-dried logs may be used.

A starter supply of kiln-dried logs is provided for the first heating of the tub. Further logs are the guest's responsibility and are readily available locally.

No accelerants, rubbish, treated timber or other unsuitable materials may be burned.
-
The heater must not be drained while it is hot.
-
Guests must not interfere with, dismantle or modify the hot tub or its equipment.
-
Guests must take reasonable care around the hot water, heater and surrounding surfaces.
-
Children using the Greenwell Cottage hot tub must be supervised by a responsible adult at all times.

Jacob's Well is adults-only.

Guests use the hot tub at their own discretion. Stay Greenwell accepts no responsibility for injury, loss or damage arising from misuse of the hot tub, failure to follow the supplied instructions or use contrary to these Terms, subject to any liability which cannot legally be excluded.
​
The hot tub will be emptied and cleaned between bookings.
​
Damage resulting from misuse may be charged to the guest and, for direct bookings, deducted from the £250 damage deposit.
8. BBQs AND OUTDOOR FIRES
BBQs are permitted ONLY in the designated purpose-built brick BBQ area.
​
BBQs must not be moved elsewhere on the property or used on the decking, grass, around the hot tub or anywhere other than the designated BBQ area.
​
Fire pits, chimineas, braziers, disposable fire pits and all other unauthorised outdoor fires are strictly prohibited.
​
The wood-fired hot tub heater and designated brick BBQ are the only permitted outdoor fires.
​
BBQs must never be used indoors or left unattended while lit or hot.
9. RURAL SETTING, WOODLAND AND WATER
The properties are in a rural woodland setting and include natural features such as burns, uneven ground, woodland and other potential hazards.
​
At Greenwell Cottage – Woodland Escape, a burn runs alongside the road and a smaller burn runs along the length of the cottage garden.
​
Guests, and particularly parents or guardians, are responsible for taking reasonable care and supervising children around water, woodland, roads and uneven ground.
​
The burns should not be entered or crossed.
​
Guests should take appropriate care in changing weather conditions and around natural hazards.
10. SAFETY AND RESPONSIBILITY
Guests are responsible for taking reasonable care of themselves and everyone in their party while staying at the property.
​
We are not responsible for loss of or damage to guests' personal belongings.
​
Nothing in these Terms excludes or limits liability which cannot legally be excluded, including liability for death or personal injury caused by negligence.
11. ACCESS AND MAINTENANCE
We respect guests' privacy but reserve the right to enter the property where reasonably necessary for an emergency, safety issue, essential maintenance or to deal with a serious problem.

Where practicable, we will contact guests first.
12. SERIOUS BREACH
We reserve the right to require guests to leave without refund where there is serious or repeated breach of these Terms, significant damage, illegal activity, dangerous behaviour or serious nuisance to neighbours or others.
​
We will act reasonably and proportionately in doing so.
13. PROBLEMS AND COMPLAINTS
If something isn't right, please tell us as soon as possible during your stay so that we have the opportunity to put it right.
​
We will always try to resolve problems promptly and fairly.
​
Complaints raised only after departure may limit our ability to investigate or remedy the issue.
14. CANCELLATION BY US / UNAVOIDABLE EVENTS
If we have to cancel a booking because the property becomes unavailable through circumstances beyond our reasonable control, we will offer alternative dates or refund payments made for the affected booking.
​
We will not normally be responsible for additional expenses such as travel, alternative accommodation or other consequential costs.
15. AIRBNB AND OTHER THIRD-PARTY BOOKINGS
Bookings made through Airbnb or another booking platform are also governed by that platform's terms, policies and cancellation arrangements.
​
Where there is a conflict between these Terms and the applicable platform terms, the platform terms take precedence to the extent of that conflict.
​
Where permitted by the relevant platform, these Terms supplement the platform's terms and the house rules applying to the booking.
16. PRIVACY AND GOVERNING LAW
Personal information provided to us in connection with a booking or enquiry will be handled in accordance with our Privacy Policy and will not be sold to third parties.
​
These Terms are governed by the law of England and Wales, subject to any mandatory consumer rights that apply.
